Thursday (April 16th) is setup day. Pipes and drapes will be going up between 8:00 and 1:00.
Campers and other big stuff will begin coming in at 9 AM. Regular vendors will be arriving to set up at 1:00. We’ll be there until 9 PM to accommodate vendors.
Friday – Vendors will be setting up between 8:00 and 11:30
Start selling tickets as early as 11:30, but man the doors to keep visitors out of display areas until the show opens up to the public at noon.
Saturday – Show opens to the public at 10:00. Don’t miss Mr. Taco after the doors close to the public at 6:00.
Sunday – Show opens to the public at 10:00. Free admission from 10:00 – 12:00. Doors close at 5:00, then everyone can help assist with an orderly breakdown and load-out of all of our stuff.
Parking Lot – Before the show opens each day, use your personal vehicles to start parking rows in the parking lot to the left of the Menard. Don’t let people triple-park or block exit rows. Use the Military kids to help.
Tickets – We’re starting with 5,900 adult (blue) tickets, 2,500 military (red) and 2,500 youth (green). We need an accurate count of visitors at the end of each day. Somebody (Angie?) just needs to subtract the tickets left from the number you started the day with. Tickets are bundled in stacks of 250. Don’t open any more bundles than you need, especially towards the end of the day, to make final counting easier. Sunday morning admission is free from 10:00-12:00, but everyone still gets a ticket. We’ll need separate visitor counts for both free admission and paid admission on Sunday.
For those taking money, use the Square app on your phone for card transactions. Log in and test with a credit card sometime before the show with a $0.01 charge. If you need to install or update the app, do it sometime before the show, because they will send me the verification code to activate.
For security, always at least 2 people at ticket counters. 3+ if it starts backing up. Pay close attention to 20s, 50s and 100’s so we don’t get stuck with counterfeits. Don’t be an easy target – keep large stacks of money, especially big bills, out of sight.
Alaska Military Youth Academy will be there on Friday and Saturday, but not on Sunday. We will have them collecting tickets/stamping hands, directing cars in the parking lot, and helping with the fish pond. Our staff will need to fill in and handle those duties on Sunday.
Always at least one adult-type person supervising the break room.
Try to switch things up with others so no one gets stuck doing the same thing all weekend.
Seminars: Always at least 1 person manning the seminar registration desk. Coordinate with Jessica. She may also snag one or two people to help out in the seminar rooms.
Door Prizes. As usual, every hour on the hour.
Kid’s Fishing Pond is going to be in the parking lot between the cabins and the food trucks. I will need 2 people (Scott & Jeremy) to help get it assembled and in place at 10:30 on Wednesday. The hatchery is delivering the first truckload of water at 1:00 Wednesday afternoon. Fish and more water will arrive on Thursday to allow the fish a day to acclimate before fishing starts on Friday. If we can’t get it taken down Sunday night, I will need 2-3 people to help get the pond broken down on Monday morning.
I will also need at least 2 people some evening out at the house for a couple hours, a week before the show, to help unpack the pond liner and get it washed off before we introduce fish. Give me a call if you can be available to help.
After the show closes on Sunday evening, some of the vendors may need help getting their stuff moved out.
